1. Who we are
NEERMAI is run by NEERMAI ("we", "us"), the controller of your personal information. You can contact us about privacy at d_gobikrishna@live.com.
2. What we collect
- Account details: your name, display name, email address, and mobile number if you give it.
- Profile details you choose to add: photo, banner, about you, languages, country, gender and date of birth. Gender, birthday and country are private unless you choose to show them.
- Your writing and activity: stories, comments, reactions, follows, messages and reports.
- Sign-in and safety information: the time of each sign-in, your device and browser type, and your IP address (shown to you only partly hidden).
- Applications: details you give when applying to be a writer or volunteer, and, for members under 18, a parent or guardian's contact details.
- Technical information: basic visit statistics through Google Analytics, and small amounts of information stored on your device (for example your colour theme and radio favourites).
3. Why we use it, and our lawful reasons
- To create and run your account, publish your writing and send sign-in codes: to provide the service you asked for (contract).
- To keep members safe, prevent misuse, handle reports and protect our rights: legitimate interests.
- To check age for Mature writing and protect children: legal obligation and legitimate interests.
- To send you notification emails you have chosen: consent, which you can change in My NEERMAI > Profile at any time.
- To understand how NEERMAI is used and improve it: legitimate interests.
4. Who can see your information
Other members see only what you choose to make public, such as your display name, photo, writing and public profile details. Your email address, mobile number and address are never shown publicly. Our team sees what it needs to run and moderate NEERMAI.
5. Services that help us
We use trusted service providers who handle information only on our instructions: our website hosting company; our email sending service; notify.lk for SMS codes in Sri Lanka; Google (Analytics and Search Console, and Google Translate only when you choose to translate a page); and Google AdSense if advertising is shown. Some providers may process information outside the UK. When they do, we rely on the safeguards the law requires, such as approved contract terms.
6. How long we keep it
We keep your account information while your account is open. If you ask us to close your account, we delete or anonymise your personal information within a reasonable time, except where we must keep some of it for legal, safety or accounting reasons. Sign-in records and email queues are kept for a short time only. Backups are overwritten on a regular cycle.
7. Your rights
You have the right to ask for a copy of your information, to correct it, to delete it, to limit or object to how we use it, to receive it in a portable form, and to withdraw consent at any time. To use these rights, email d_gobikrishna@live.com. We will reply within one month. If you are not happy with how we handle your information, you can complain to the Information Commissioner's Office in the UK (ico.org.uk). Members in Sri Lanka also have the rights given by the Personal Data Protection Act, No. 9 of 2022, and can contact the Data Protection Authority of Sri Lanka.
8. Children
Members must be at least 13. Members under 18 need a parent or guardian's agreement, their photo always stays private, and Mature writing is hidden from them.
9. Keeping it safe
We sign you in with one-time codes instead of passwords, use secure connections, limit who in our team can see personal details, and record when member lists are exported.
10. Changes to this policy
We will show any important change when you next visit. The version and date are at the top of this page.
